Position Overview

Job Title: Staff Accountant
Location: Remote / Flexible, must overlap with Pacific Coast time 4+ hours/day 
Reports to: CFO
Position Type: Part Time Consultant

This role integrates financial analysis with disciplined accounting execution, serving as both financial steward and operational accounting lead to ensure accurate books, protect grant compliance, and provide leadership with reliable financial insight while maintaining strong operational controls.

This position requires strong analytical judgment and transactional precision in a mission-driven, compliance-focused environment.

Key Responsibilities

Financial Integrity

  • Perform monthly reconciliations within five business days of reporting and investigate discrepancies to resolution.

  • Maintain core financial dashboards (cash flow, burn rate, Budget vs Actual) and provide bi-weekly variance insights and tradeoff recommendations to leadership.

  • Strengthen financial visibility and documentation systems.

Grant & Contract Financial Oversight

  • Monitor grant budgets and contract spend for alignment with approved terms, flagging overspend, underspend, or compliance risks early and recommending corrective action.

  • Review consultant/vendor invoices for alignment with contractual scope.

Accounting Operations & Controls

  • Process vendor and consultant payments within two business days of receipt, ensuring complete documentation and accurate coding to grant and project budgets in alignment with funding restrictions and approved budgets.

  • Manage weekly credit card expense allocation and monthly reconciliation.

  • Develop and maintain travel reimbursement materials and process reimbursements within five business days of trip return, ensuring policy compliance and accurate coding.

  • Update budget trackers and accounting logs in real time as expenses are processed, ensuring alignment with approved budgets.

  • Onboard new consultants and vendors into the accounting system by supporting setup, collecting required documentation, and training them on invoice submission processes, documentation standards and payment timelines.

  • Serve as the primary point of contact for vendor and consultant payments, proactively sourcing invoices, and responding to payment inquiries within 48 hours with timely follow-through to resolution.

Systems & Process Improvement

  • Identify opportunities to improve workflows through automation or AI tools, and maintain clear documentation of financial processes, controls, and workflows.

Minimum Qualifications & Required Skills:

  • 3+ years accounting experience with both analytical and transactional exposure.

  • Grant compliance experience preferred.

  • Strong Excel and ERP proficiency.

  • Ability to manage both analysis and execution without compromising quality.

  • Comfort experimenting with AI tools to improve financial reporting, analysis, and accounting efficiency is a plus.

  • This role requires a minimum of 2 dedicated hours per day, Monday–Thursday, during PST business hours for real-time coordination. Additional hours may be completed flexibly as needed based on workload and the AP cycle. Total hours are expected to vary but not exceed approximately 60- 80 hours per month.
