Position Overview
The Digital Marketing Assistant will provide key support to Micromentor’s marketing team through hands-on work with website updates, email campaigns, and general digital operations. This role is ideal for someone who has some familiarity with web tools, CMS, or email tools, and who is motivated to grow and stay consistent in performing support tasks over time. You’ll be doing important day-to-day work that ensures our digital presence and communications are up to date, accurate, and effective.
Key Responsibilities
Website Support (Squarespace / CMS)
Use Squarespace to update web pages: text, images, links.
Create or modify simple landing pages when needed.
Coordinate with team members and designers to keep content accurate and visually consistent.
Monitor for any website issues (broken links, layout errors, etc.) and escalate as needed.
Email Marketing Support (Mailchimp)
Maintain and organize contact lists in Mailchimp (segmentation, clean data).
Assist with creating, formatting, and sending email campaigns/newsletters.
Work with content and design to get graphics or copy ready.
Share campaign summaries or performance metrics with the team when requested.
User Support
Work closely with The Centr (Micromentor’s vendor providing user support) to ensure timely and effective resolution of flagged users, spam reports, or other violations of the community code of conduct.
Serve as the liaison between Micromentor’s Product team and The Centr for cases that require technical support, ensuring accurate documentation, ticket creation, and communication with users.
Support data privacy processes, including handling user requests for data deletion in accordance with Micromentor’s policies.
General Support & Coordination
Participate in weekly meetings with team members to plan tasks, share updates, and coordinate content.
Help with translations or uploading content (other languages) as needed.
Assist in documenting recurring tasks and process steps for the team to follow.
Deliverables (daily/weekly/monthly)
Website upkeep: Conduct weekly website checks (broken links, formatting, outdated content) and complete all assigned updates within 3 business days of request. Ensure content remains accurate, consistent, and aligned with brand guidelines.
Email campaigns: Provide full support for at least two campaigns per month (setup, formatting, testing, and scheduling/sending). Deliver post-send summaries of open/click rates as part of weekly update.
Contact list management: Maintain Mailchimp contact lists by removing duplicates, suppressing unsubscribes, and cleaning bounced addresses. Ensure lists remain within billing plan limits and are ready for campaign use.
Team reporting: Share concise updates on website, email, and list activities during weekly team meetings or in a short written summary circulated beforehand.
User support coordination: Track all flagged user issues, escalate as required, and confirm closure within agreed timelines. Document 100% of user data deletion requests processed in accordance with Micromentor’s privacy policy.
Process documentation: Manage process guidelines for recurring marketing tasks (e.g., updating web pages, sending email campaigns). This includes keeping existing guides accurate, updating them as tools or workflows evolve, and creating new guides when needed to ensure consistency and knowledge transfer across the team.
Qualifications
Some experience using a CMS platform (Squarespace or similar).
Familiarity with email tools (Mailchimp or similar); able to follow templates or guidelines.
Strong organizational skills and attention to detail.
Good written and verbal communication.
Comfortable handling routine digital tasks and following best practices.
Eager to learn and able to take direction; adaptive.
